Faculty Clinical Appointments System
The Faculty of Medicine’s Clinical Appointment process is managed by the Faculty’s Human Resources office, and facilitated by a workflow and document management system (Laserfiche) supported by MedIT. MedIT provides technical training on a regular basis to show users (administrative and faculty members involved in the departmental review committees) how to use the system for appointments. Note that users attending these sessions will are required to have existing knowledge of the Faculty and University’s policies and guidelines regarding promotion prior to attending. A review session regarding the Faculty and University’s policies and guidelines can be arranged with the Faculty’s Human Resource department.

Student Email (UTMail+)
UTmail+ is the student email and calendar service at the University of Toronto. The service is powered by Microsoft’s platform and supports integrated email, calendaring, contacts and task lists. UTmail+ lets you use a web browser to access your mailbox from any computer that has an internet connection. You can also access UTmail+ through desktop mail clients or mobile devices. For the communication of clinical and personal health information, students are required to use the ONE Mail Direct service, offered by eHealth Ontario.

Video Captioning
Using a captioning service, MedIT can facilitate adding text captions (closed or open) to video. The captions are white letters on a darkened background at the bottom of the screen; medical terms and names that may be unfamiliar to the captioner can be called out in advance so spellings are correct. Open captions are automatically visible when the video plays (but can be turned off); closed captions need to be turned on by the user to be visible.

Video Production and Post-Production
The MedIT has a full-service video production facility with a creative team that can help turn a client’s vision into reality. We will work with the client to develop a script for the video that will meet their needs and budget. The video footage will be shot with digital HD cameras, professional lighting and microphones and then undergo post production. Once the video is complete, it will be published to the required format. Hosting options are available if necessary.

Package 3: Lecture Capture with One Camera and Switcher
Summary: Includes one camera, one operator, a video switcher, a laptop for presentation, and peripherals.
Used for: Lecture capture, this package allows for the presentation (eg, PowerPoint) and the camera view of the presenter to be recorded simultaneously. The advantage of the addition of a video switcher to this package is that the switching between the cameras can be done in real time, saving time later in editing. The presenter can use their own laptop if preferred.

Package 4: Studio on the Go
Summary: Includes two cameras, one operator, a video switcher, and peripherals.

The advantage of the addition of a video switcher to this package is that the switching between the cameras can be done in real time, saving time later in editing. The presenter can use their own laptop if preferred.

Virtual Private Networking (UTORvpn)
UTORvpn is the institutional Virtual Private Network (VPN) of the University of Toronto providing staff, faculty and graduate students secure access to UofT's internal network from off campus. This service is intended to be used for work and study related purposes, and all of your internet traffic will be routed through UofT's network when you are connected. To use UTORvpn you must have an active UTORid. MedIT requires the use of UTORvpn to access some services, such as client-managed virtual servers.

Virtual Server Hosting
For Faculty of Medicine clients who need a server on which to host a website or web application, MedIT is now offering a virtual server hosting service / virtual colocation. Working in partnership with the University’s Information and Technology Services (ITS), we are now able to provide other Faculty clients with access to the same secure infrastructure on which we host the Faculty’s sites and systems.
Importantly, while the initial setup of the servers will be facilitated (at no cost) by MedIT, the ongoing management of the servers is entirely the responsibility of the client, and the ongoing costs will be charged by ITS directly to the client, based on their virtual hosting service rates. To assist clients with the initial server setup, MedIT will:
- request the initial creation of the server by ITS based on the client’s specifications
- place the server behind the Faculty's firewall, establishing rules & allocating a Faculty IP address
- set up any required University DNS entries (i.e. a URL ending in “med.utoronto.ca”)
- perform the initial operating system installation (Windows Server or Ubuntu Linux)
- provide the client with RDP access to the server (which requires authentication via UTORvpn)
- set up regularly-scheduled vulnerability scanning (if applicable) and uptime monitoring
After the initial setup, the client will take on full responsibility for the installation of applications, and for the ongoing configuration, maintenance, patching, and security of the server, working directly with ITS where necessary. For liability reasons, MedIT staff cannot participate in the operation, maintenance, or troubleshooting of servers or applications they are not familiar with. Therefore, virtual server clients are required (if they themselves do not have the required technical skills) to arrange for their own qualified system administration support. The specific tasks that will be the client's ongoing responsibility include (but are not limited to):
- operating system updates and patches
- installation and updates/patches of applications or application servers
- database installation, configuration, and tuning
- antivirus installation and maintenance, server hardening, performance tuning, log monitoring
- registering and configuring external domain names
- adding server resources (processors, RAM, hard disk) – coordinate with ITS
- taking snapshots, or doing backups or restores – coordinate with ITS
The only exception is that MedIT will provide firewall maintenance to virtual server clients (since they are using the Faculty’s firewall). Please note that we reserve the right, with reasonable notice, to isolate or block any server or site which is shown to have a serious unpatched vulnerability, or that poses a risk to other servers in the same environment. Also, please note that we can only offer virtual servers; for security and liability reasons we can no longer offer physical co-location of 3rd-party servers in our data centre.
System administrators are required to use UTORvpn to obtain a University IP address in order to access their servers hosted under this program.
Data Backup for Servers (UTORecover)
Professionally-managed backup solution provided by Information Technology Services (ITS). Other than the requirement that the client system be on the University’s network, there are virtually no restrictions on the type of hardware, operating system or total amount of data to be backed up.

eLearning Module Hosting
In order for eLearning module files, such as Articulate Storyline files, to be viewed, they need to be hosted on a server optimized for playing back that type of media. MedIT can host eLearning module files on our dedicated server, making them easily accessible and playable from any browser or device. We can also apply security features to the hosted module, if desired.
